Nashville Automation Company ("we," "us," or "our"), a trade name of Custom Logic Labs LLC, operates
nashvilleautomation.io and provides agstaff,
an AI assistant ("chief of staff") that, with your permission, works across your Google account to
triage email, manage your calendar and tasks, and process your documents. This policy explains what
we access, how we use it, where it is stored, and the choices you have. We keep it plain — the same
way we build.
Information We Collect
Contact details you give us. When you book a call or email us, we receive your
name, email address, and anything you choose to share about your business and its processes.
Google account data you connect. When you authorize agstaff, we access only the
Google services you approve:
Gmail. To read and triage your inbox, summarize messages, and prepare
draft replies you review. If you enable them, agstaff can also organize your
mail (archive, label, mark as read) and send email on your behalf. By default
agstaff only drafts — you press send — and it never permanently deletes mail. You choose which
capabilities are on and can turn any off.
Google Drive, Docs, Sheets & Slides. To read documents, spreadsheets, and
presentations in your Drive to provide the features you enable (for example, summarizing a document or
extracting invoice totals). If you enable it, agstaff gets read/write access across your
Drive — create folders, save, and edit files on your behalf.
Google Calendar. To read your calendar so agstaff can see your schedule.
Google Tasks. To read your to-do lists.
Basic account info. Your Google account email address and basic profile (name
and picture), used to identify which account is connected.
Basic site analytics. Standard technical information such as your browser type,
device, and pages viewed, used only to keep the site working.
How We Use It
To run the capabilities you enable — triage, summarize, draft, and organize email; read and
summarize your documents and save results to your Drive; and read your calendar and to-do lists.
To respond to your questions and provide support.
To operate, secure, and improve the features you enable.
Where Your Data Is Stored
To give the assistant memory and context across your requests, content from your connected Google
account — including email content, documents, calendar events, and tasks — may be stored in our AI
memory system on infrastructure we control, protected by access controls and encryption. This content
is processed by the AI model providers we use (for example, Anthropic) solely to generate the
assistant's responses for you; they do not use it to train their models. We keep it only as long as
needed to provide the service and delete it when you disconnect or on request.
Google User Data — Limited Use
Our use and transfer of information received from Google APIs adheres to the
Google API Services User
Data Policy, including the Limited Use requirements. Specifically:
We use your Google data only to provide and improve the user-facing features you enable.
We do not sell your Google data.
We do not use it for advertising.
We do not use it to develop, improve, or train generalized or non-personalized
AI/ML models.
We do not allow humans to read your Google data, except with your explicit
consent, for security or to comply with the law, or when the data has been aggregated and anonymized.
We share it only with service providers (such as our hosting and AI model providers), strictly to
operate these features on your behalf.
We do not sell or rent your personal information to anyone.
We do not use your information for advertising or profiling.
We do not permanently delete your email. agstaff sends mail only if you enable that capability — by default it just drafts.
We only read your calendar and tasks; we do not change them.
We do not collect more than the capabilities you enable require.
Data Retention
We keep your connected Google content and contact information only as long as needed to provide the
service to you. When you disconnect Google access or ask us to delete your data, we remove it from our
AI memory system and records.
Your Choices
Choose which Google services and actions agstaff may use, and turn any of them off at any time.
